Wedding Coordination
After investing endless hours in meticulously planning your ideal day, the moment you have been eagerly awaiting has finally arrived. Now, it is time for us to step in and handle everything for you!
What is a Day of Coordinator?
-
A Day-of Coordinator, also known as a Wedding or Event Coordinator, is a skilled professional dedicated to ensuring the seamless execution of your special occasion. Their expertise lies in finalizing all the necessary details, coordinating with vendors, managing timelines, resolving unforeseen challenges, assisting guests, and supervising the set up and tear down of the event.
Our ultimate objective is to alleviate any stress or concerts you may have, allowing you to fully immerse yourself in and savor every moment of your special day!
Responsibilities:
-
Logistics
Our primary job is making sure all the logistics of the wedding are handled. This includes ensuring that all necessary arrangements are in place. For instance, If there are 200 guests, for example, this person makes sure there are 200 chairs at the ceremony and reception. Our attention to detail ensures that every aspect of the event is carefully managed and executed to create a seamless and enjoyable experience for all involved.
-
Timelines & Ensuring Efficiency:
One of the crucial responsibilities of a day-of wedding coordinator is to create a comprehensive and detailed timeline for the entire day. They are responsible for ensuring that everyone involved, from the couple's family to the vendors, adheres to the schedule. If there are any delays, such as with hair or makeup, the coordinator will intervene to expedite the process. They also ensure that guests are seated promptly for the ceremony and coordinate timely photography sessions, allowing the couple to transition smoothly from one event to the next. By effectively managing timelines, the coordinator ensures that the wedding day flows seamlessly, allowing everyone to fully enjoy the celebration.
-
Liaison between Vendors and the Couple:
As the main point of contact for all wedding vendors, the day-of wedding coordinator takes on the role of a manager on duty. We oversee the work of the vendors and ensure that they fulfill their contractual obligations. Any inquiries or concerns from the vendors are directed to the coordinator, relieving the couple of the need to handle them personally. By serving as the communication bridge, the coordinator allows the couple to focus on enjoying their special day while ensuring that the vendors deliver their services seamlessly.
-
Rehearsals:
Want to eliminate any hiccups on your big day (or at the very least, reduce them)? Then a proper run-through of the ceremony is necessary – and a wedding coordinator can help with that. They’ll assist in lining up your wedding party, running through the order of events, and keeping everyone informed and organized. If necessary, we will also coordinate setup and clean up with your contracted vendors.
-
Resolving Challenges to Ensure a Stress-Free Wedding:
One of the crucial responsibilities of the day-of wedding coordinator is to handle unexpected issues and resolve problems that may arise on or just before the wedding day. Whether it's a shortage of tequila at the bar, a forgotten set of rings, or a sudden power outage at the venue, the coordinator takes charge and finds solutions. By quickly assessing the situation and making informed decisions, their goal is to alleviate any stress or worries for the couple. The coordinator's role is to ensure that unforeseen obstacles are overcome, allowing the couple to fully enjoy their special day without any disruptions.
